The group had originally missed out on a planned incentive trip during 2020. Travel restrictions and limitations on public gatherings meant that many corporate events and international reward trips had to be postponed or cancelled.

As restrictions began to ease towards the end of the following year, Sanlam decided that the group deserved something exceptional.

Rather than arranging a conventional hotel-based conference or weekend away, they chartered a luxury train. It allowed the guests to travel together, relax and enjoy a carefully planned experience while the changing South African landscape passed their windows.

After such a long period without incentive travel, there was a real sense of excitement when the group arrived. People were ready to reconnect, celebrate their achievements and spend time together outside the usual working environment.

For us as photographers, those natural interactions were an important part of the story.

The difference, of course, was that this hotel was moving.

The beautifully prepared suites, polished wood finishes, formal dining carriages and comfortable lounges created an atmosphere reminiscent of the golden age of rail travel. Staff members quietly attended to guests throughout the journey, ensuring that everything ran smoothly.

As photographers, we documented these details because they form an important part of the overall incentive experience.

Photographs of beautifully set tables, drinks being prepared, luggage arriving in the suites and guests being welcomed on board help tell the complete story. These images are valuable to the client, but they are also important to the incentive travel company responsible for arranging the trip.

They show the standard of the experience, the attention to detail and the way guests responded to what had been planned for them.

Long, Unhurried Lunches in the Dining Carriage

Dining was one of the central features of the Sanlam Rovos Rail journey.

Lunch was not something squeezed into a short gap between activities. It was an occasion in itself.

Guests gathered in the elegant dining carriage for long, unhurried meals accompanied by South African wines. The tables were beautifully prepared, and the formal setting created a wonderful contrast with the landscape passing outside the windows.

These lunches gave the group time to slow down, reconnect and enjoy one another’s company.

From a photographic perspective, the dining carriage offered beautiful storytelling opportunities. We captured the wider scene, food presentation, table details and spontaneous moments between guests.

The aim was not to interrupt the experience or repeatedly ask people to pose. Instead, we worked discreetly around the group, allowing conversations and reactions to happen naturally.

This documentary approach produces photographs that feel genuine and bring the viewer back to the experience.

Evening Dinners and Drinks in the Observation Carriage

The evenings aboard Rovos Rail had their own rhythm.

Guests dressed for dinner and returned to the dining carriage for another carefully prepared meal. As daylight disappeared outside, the train’s warm interior lighting created an elegant and intimate atmosphere.

After dinner, the group moved to the bar and observation carriage at the rear of the train.

This became one of the favourite gathering places during the journey. Guests could enjoy a nightcap, relax in the lounge or step onto the open-air section at the back of the train.

It was here that many of the most natural moments occurred.

The formal part of the evening was over, people were relaxed and the conversations continued late into the night. These quieter photographs of friends and colleagues sharing drinks often communicate the success of an incentive trip better than a large formal group photograph.

They show connection, enjoyment and the relationships strengthened through travelling together.

Photographing the Complete Incentive Travel Story

Corporate incentive travel photography is about more than photographing a few activities and an awards dinner.

A complete visual story starts when the group arrives and continues throughout the journey.

For this Rovos Rail charter, we photographed the welcome, accommodation, dining experiences, informal conversations, scenery, service details and evening celebrations. We also made sure that the Sanlam brand and the purpose of the trip were visible without making every photograph feel staged or promotional.

The final collection needed to serve several purposes.

Sanlam could use the photographs for internal communication, future incentive campaigns and recognition of its top advisors. The images could also be shared with guests as a reminder of the experience.

For the travel organisers, the photography provided a valuable record of the planning, service and execution behind the journey.
