INCENTIVE TRAVEL PHOTOGRAPHER IN BERLIN AND MUNICH

For this international incentive trip, ZaraZoo travelled from South Africa with the achievers of OLD MUTUAL AFRICA REGIONS on a reward journey through Berlin and Munich.

Incentive Travel Photographer South Africa – Berlin and Munich

For South African tour operators planning international corporate reward trips, appointing the right photography and video team is an important part of the programme.

A professional incentive travel photographer from South Africa travels with the group from departure until the final event, capturing the complete experience rather than only photographing selected activities once the group reaches its destination.

The programme was organised by THE WINNERS GROUP, with the German destination arrangements managed by TIME CHANGE.

Our two-person photography and video team travelled with the group throughout the itinerary, documenting everything from airport departures and city tours to gala dinners, cultural activities, train transfers and the final Bavarian farewell celebration.

Outbound Incentive Travel Photography from South Africa

South African incentive travel companies regularly arrange international trips for corporate achievers, sales teams, executives and top-performing employees.

These programmes involve complex itineraries, multiple venues, carefully coordinated activities and significant investment from the client. The photographs and video should therefore communicate far more than the appearance of the destination.

They should show:

  • The scale of the incentive programme
  • The excitement of the achievers
  • The quality of the accommodation and venues
  • The work of the organisers
  • The corporate branding
  • The cultural experiences
  • The friendships and interactions within the group
  • The recognition of the top performers

As an experienced incentive travel photographer in South Africa, ZaraZoo works alongside the tour operator and corporate client to document the complete journey without disrupting the programme.

Arriving in Berlin

The first part of the journey took place in Berlin, where the group stayed at the centrally located HILTON BERLIN.

Because the delegates arrived on different international flights, they were divided into smaller groups for their first introduction to the city.

The Best of Berlin tours passed several of the city’s most recognisable areas and landmarks, including Potsdamer Platz, Bellevue Palace, the government quarter and Kurfürstendamm.

Photographic stops at the Brandenburg Gate, the Kaiser Wilhelm Memorial Church and the Memorial to the Murdered Jews of Europe allowed us to establish the destination immediately.

For incentive travel photography, these recognisable locations are important. They show where the group travelled while keeping the achievers and their experience at the centre of the photographs.

The group later enjoyed lunch at HACKESCHER HOF, situated within Berlin’s historic Hackesche Höfe precinct.

It was a relaxed first gathering and an opportunity for delegates to settle into the programme before the evening’s formal welcome event.

Welcome Dinner at the Reichstag

The official welcome dinner took place at the KÄFER DACHGARTEN RESTAURANT, located on top of Berlin’s Reichstag building.

Before dinner, guests passed through the necessary security procedures and entered the famous glass dome of the Reichstag.

The dome provided a striking setting for photographs and video. Its contemporary architecture, curved glass surfaces and views across Berlin created a completely different visual environment from the historic landmarks visited earlier in the day.

We photographed the group exploring the dome, looking out across the city and interacting naturally with one another.

The visit was followed by drinks, canapés, welcome remarks and a three-course dinner.

A corporate welcome dinner needs to be documented carefully. We capture the venue, food, branding and formal programme, but the photographs must also show the atmosphere between the guests.

Our approach is to work around the itinerary rather than turning the event into a prolonged photography session.

Exploring Berlin in Classic Trabant Cars

The following day introduced the group to Berlin’s Cold War history through several interactive experiences.

The delegates were divided into smaller groups for activities including a TRABI-SAFARI, a visit to the GERMAN SPY MUSEUM, guided walking tours and a visit to THE WALL PANORAMA.

The Trabi Safari was one of the most visually exciting activities on the Berlin itinerary.

Guests drove through the city in a convoy of classic Trabant cars, changing drivers and following instructions through a radio system installed in each vehicle.

The brightly coloured cars, group interaction and movement through Berlin created strong opportunities for both photography and video.

Activities like these are also where an experienced travelling photography team becomes especially valuable.

There is normally only one opportunity to photograph the group preparing to leave, getting into the cars, driving through the city and reacting to the experience.

Because we travel with the group and understand the itinerary beforehand, we can position ourselves to capture these moments without delaying the activity.

Berlin’s Cold War History

The German Spy Museum and Berlin Wall experiences added another dimension to the trip.

While the Trabi cars created energy and fun, the museums and walking tours offered a more thoughtful look at the history of the city.

Berlin’s past is part of what makes it such an interesting corporate incentive destination. Within a single day, a group can move between modern architecture, interactive museums, historic landmarks and experiences connected to the division of East and West Berlin.

Our role as the photography and video team was to capture this variety while maintaining a consistent visual story throughout the programme.

A Private River Spree Cruise

The group also experienced Berlin from the water during a private cruise on the River Spree aboard the MS BELVEDERE.

The private two-hour cruise gave the group time to relax, socialise and enjoy views of the city from a different perspective.

Boat cruises work particularly well within corporate incentive itineraries because they provide a natural break between more structured activities.

For photography and video, the cruise created opportunities to capture relaxed conversations, group interaction and wide views of Berlin’s architecture passing in the background.

These candid photographs often become some of the most meaningful images from an incentive trip. They show the relationships between the achievers and the enjoyment of the reward rather than only recording the official itinerary.

Old Mutual Gala Awards Dinner in Berlin

The Berlin programme concluded with the formal Old Mutual Gala Awards Dinner at HUMBOLDT CARRÉ.

The evening included pre-dinner drinks, canapés, speeches, award presentations, an LED performance, dinner and an after-party with a DJ.

The gala awards dinner is often the most important event on a corporate incentive itinerary.

The international destination may be the reward, but the purpose of the journey is still to recognise and celebrate the company’s top performers.

Our coverage started before the guests entered the venue. We photographed the room setup, décor, stage, lighting, tables and corporate branding while everything was still in position.

During the event, our two-person team covered the award presentations, speeches, audience reactions and entertainment.

One team member could focus on the stage and award recipients while the other photographed the reactions of colleagues and family members in the audience.

This is one of the reasons ZaraZoo uses a versatile two-person team for international incentive travel photography and video.

Both team members can work across photography and video, allowing us to respond quickly when important moments happen in different parts of the venue.

Travelling from Berlin to Munich

After several days in Berlin, the group travelled to Munich by ICE train.

Transfers are an important part of the visual story of an international incentive trip.

Although they may not be listed as headline activities, they show the journey between destinations and the scale of moving a large corporate group through another country.

Travelling with a group of more than 100 people also requires the photography team to remain organised and mobile.

Camera equipment, video equipment, batteries and backup systems need to remain accessible while allowing us to move with the delegates and work within the same luggage restrictions and transport arrangements.

On arrival in Munich, the group enjoyed a private lunch at SEEHAUS IM ENGLISCHEN GARTEN, overlooking the Kleinhesseloher See.

The group was then divided into smaller parties for a visit to NYMPHENBURG PALACE before checking into LE MÉRIDIEN MUNICH.

A Different Side of Germany

Berlin and Munich offered two very different visual environments within the same incentive programme.

Berlin was defined by contemporary architecture, Cold War history, street scenes and urban energy.

Munich introduced palace gardens, traditional Bavarian buildings, beer halls and a more relaxed atmosphere.

Including two destinations in one incentive trip gives the final photography gallery and video production greater visual variety.

It also helps the tour operator show the full value of the programme to the corporate client.

BMW Welt and the BMW Museum

The Munich itinerary included a visit to BMW WELT AND THE BMW MUSEUM.

The modern architecture, vehicle displays and interactive exhibitions created a strong contrast with the historic sites visited elsewhere in the city.

BMW Welt is particularly well suited to corporate groups because it combines German innovation, design and motoring history within one experience.

For our photography and video team, the buildings provided strong architectural compositions, reflections and opportunities to photograph the delegates interacting with the displays.

Lunch at Ratskeller München

The group later enjoyed lunch at RATSKELLER MÜNCHEN, located beneath Munich’s historic New Town Hall.

After lunch, the delegates had leisure time around Marienplatz.

Unstructured time is valuable during a longer corporate reward trip. It gives travellers an opportunity to shop, explore independently and enjoy the destination at their own pace.

It also creates more natural photographic moments away from the formal programme.

Cycling and Walking Tours Through Munich

The Munich programme gave delegates the option of joining a bicycle tour or participating in a guided walking tour.

The walking tour included the MUNICH RESIDENCE AND TREASURY, while the cycling programme offered a more active way to experience the city.

South African tour operators often include a combination of cultural, active and culinary experiences in their international incentive programmes.

This variety is important from a photographic perspective because it prevents the final gallery from becoming repetitive.

A bicycle tour brings movement and energy into the photographs, while a palace or museum visit introduces architecture, history and detail.

Oktoberfest-Themed Farewell Dinner

The trip concluded with an Oktoberfest-themed farewell dinner at AUGUSTINER-KELLER.

The delegates dressed in traditional German clothing and received Bavarian hats on arrival.

The evening included drinks, traditional food, entertainment and a final celebration.

This provided a colourful and energetic conclusion to the trip.

The traditional clothing, venue interiors, live entertainment and group interaction created a completely different atmosphere from the formal gala awards dinner in Berlin.

By this point in an incentive programme, the delegates have normally shared several days of activities and experiences.

The farewell dinner is therefore often one of the most relaxed events to photograph. Guests are comfortable with one another, the formalities are largely complete and the celebration can unfold naturally.

Why South African Tour Operators Should Travel With Their Own Photography Team

Appointing an incentive travel photographer from South Africa provides several advantages for local travel companies planning outbound corporate programmes.

The photography team can meet with the organiser and corporate client before departure, understand the brand requirements and become familiar with the itinerary.

Travelling from South Africa with the group also means that the same team can document:

  • Airport departures
  • International arrivals
  • Hotel check-ins
  • City tours
  • Group activities
  • Dinners
  • Gala events
  • Award presentations
  • Transfers between destinations
  • Informal guest interaction
  • The final journey home

There is no need to find and brief a different photographer in every international city.

The tour operator also works with one team, one visual style and one delivery process throughout the programme.

Photography and Video for South African Incentive Travel Companies

ZaraZoo is based in South Africa and has covered corporate incentive trips in destinations around the world.

Our compact two-person team can travel with outbound groups while providing both professional photography and video coverage.

Because both team members are able to work across photography and video, we can adapt to changing itineraries, split groups and simultaneous activities.

We understand that incentive programmes do not always run according to a fixed event schedule.

Flights may arrive at different times, weather can affect activities and delegates may be divided into several groups.

Our experience allows us to adjust while continuing to document the most important parts of the programme.

Creating Marketing Content for Tour Operators

Professional incentive travel photography is valuable not only to the corporate client.

It also provides the South African tour operator with marketing content that can be used to promote future incentive programmes.

The final photographs and videos can help show:

  • The quality of the destinations
  • The standard of the accommodation
  • The creativity of the itinerary
  • The scale of the events
  • The experiences available to corporate groups
  • The tour operator’s ability to manage complex international programmes

These visual assets can be used on websites, in proposals, during presentations, in social media campaigns and when pitching for future corporate incentive travel work.
